  • Oversees the operational flow of a patient’s experience from check-in to check-out to scheduling
  • Performs and oversees front and back office duties for optimal flow and patient experience at two locations
  • Performs and oversees housekeeping functions such as: changing exam room table paper, upkeep of cleanliness of the office (exam rooms, bathrooms, waiting area, front office, lab room, medical equipment, etc.)
  • Assures the readiness of the reception area for each working day; have all front desk activities fully operational at the start of business hours
  • Makes sure all required reports are completed each day for cash deposits and all other operational support needs
  • Relieves staff of duties for breaks, lunches and paid time off as needed
  • Responsible for day-to-day workflows under the direction of the General Manager for clinical and administrative support
  • Proposes new and revised office procedures as needed and seeks approval
  • Ensures all data input into the database is accurate and timely
  • Reviews and edits reports to ensure accuracy in context, data, grammar, spelling and consistency
  • Resolves personnel problems and promotes positive employee relations
  • Manages staff scheduling and coordination of team member activities
  • Trains, coaches and develops new staff
  • Communicates issues and proposes solutions to management
  • Complies with all privacy and dignity of patients consistent with HIPAA guidelines/regulations: assure patient confidentiality at all times
  • Assists in projects or other duties as assigned to meet the needs of the Institute

Skills and Abilities:

  • 1-2 years of supervisory experience (medical office experience a plus)
  • 1-3 years working in a medical office environment preferred
  • Excellent verbal and written communication skills
  • Knowledge of medical terminology and a medical office’s patient flow
  • Knowledge of EMR and MS Office Suite software applications
  • Ability to organize, plan and coordinate multiple tasks with a high sense of urgency and follow-through
  • Ability to work both in a team environment, as well as independently
  • Exceptional customer service skills; team builder
  • Ability to interact with providers, staff, management and patients
  • Must be able to multi-task as needed
  • Ability to demonstrate an understanding of applicable policies and procedures
  • Ability to maintain conditions that ensure a healthy and safe working environment

Education and/or Experience: (includes certificate & licenses)

  • Associate of Arts degree and/or 1-2 years in a lead or supervisory role in a medical facility
  • CPR certification required
  • First Aid certification preferred

Salary Range: $50,000 – $55,000
